Clearer reasons when a payroll cannot be approved

When a payroll run cannot be finalized, the app now explains the specific reason in plain language — for example a missing vacation rate or an unsupported payout method — with the affected employee named and a link to the matching guide.

  • Named fix. The notice lists the employee the issue applies to, so you can go straight to their record.
  • Linked guide. Where a guide exists, the notice links to it so you can resolve the issue without contacting support.

Payroll notices now link to step-by-step guides

Payroll error notices across the app have been rebuilt: each one explains what went wrong, why it matters, and how to fix it. CPP and EI exemption settings in the employee form now link to a guide explaining when those exemptions legally apply.

A warning before vacation pay falls below the statutory minimum

When an employee's vacation rate is below their province's statutory minimum for their years of service, the employee form warns you before you finish setup — with the minimum rate and the option to update the link to vacation pay rules.

Custom earnings keep your vacation pay classification

For company-created custom earnings, Beanflow now uses the vacation-payable setting you chose when you built the earning, instead of blocking the payroll. Statutory earnings continue to follow the annual rules automatically.

Clearer emails when support replies to your ticket

When someone from Beanflow replies to your support ticket, the email now shows a short preview of the reply and a button that opens the conversation.

  • Preview before you open it. The reply is previewed in the email, so you can tell whether it needs an answer.
  • Straight to the thread. A View & Reply button takes you to the ticket instead of making you search for it.

Special holiday-pay rules explained in context

When a province applies special holiday-pay rules to an employee in a draft payroll, the notice now explains the rule with a "Learn more" link to the employment standards reference for that province and year — and you can acknowledge it once instead of seeing it every run.

Deduction template guidance where you need it

Creating a new pay group now shows a short note explaining which deductions belong on the pay group as recurring templates — and which ones, like garnishments or one-off amounts, belong on the employee row inside a payroll run.

Vacation coverage confirmation for your existing team

Employees added before vacation-coverage confirmations existed are now asked to confirm standard statutory vacation coverage the same way as new employees. Assignment and payroll stay blocked until the confirmation is made, so no one is paid at the wrong vacation rate.

Standard-vacation confirmation applies in Alberta, Nova Scotia, Ontario, and Prince Edward Island.

Deduction templates start as a draft

Adding a recurring deduction now opens an unsaved draft first. The template is only created when you save a valid amount or rate, so accidental zero-amount templates no longer reach your payroll.

More T4 boxes supported: dental coverage, union dues, and donations

You can now record employer-confirmed dental access facts for T4 Box 45, choose between employer-reported and union-receipt union dues for Box 44, and report charitable donations in Box 46. Employer-classified non-taxable expense reimbursements stay off the T4 entirely.

Monthly pay groups can end on a custom day

Monthly pay groups no longer have to end on the last day of the month. Pick any day from the 1st to the 27th and the period runs from the same day of the previous month — for example, a period ending February 10 covers January 11 to February 10.

Prepare a Record of Employment (ROE) in Beanflow

When an employee leaves or has an interruption of earnings, Beanflow now prepares a draft ROE for you: it walks through eligibility, work dates, and the reason for the interruption, then generates the Payroll Extract you upload to ROE Web. A records page keeps every draft and issued ROE in one place.

  • Guided steps. Eligibility, reason, and work dates are collected step by step, with corrections caught before you export.
  • Semi-monthly support. Pay periods ending mid-month are handled, not just calendar-month periods.

Beanflow prepares the draft and extract; the final submission to Service Canada still happens in ROE Web.

Address autocomplete in the employee form

Start typing a street address and Beanflow suggests verified Canadian addresses, so a typo in a province or postal code is less likely to reach your payroll records.

Correct a wrong SIN without starting over

A mistyped SIN no longer means recreating the employee. A dedicated replace flow asks for the reason, updates the record, and keeps the change on the audit trail — and unfiled T4 slips are refreshed so the corrected SIN is the one that gets reported.

Adjust vacation and holiday pay inside a draft payroll

Draft payroll records now accept manual vacation and holiday pay adjustments with a required reason. The adjustment is kept alongside the calculated amount, so you always know what was automatic and what you set.

Pay group guidance for year-end pay dates

The next-period-end field on a pay group now explains that a pay date's year is what places it in a T4 reporting year — not the period start — helping you avoid surprises when a period spans the new year.

Correction tools show up only when they apply

The void and correction controls on an approved payroll now appear only after the system has confirmed the run qualifies. If eligibility cannot be confirmed, you get an error with a retry instead of a button that fails.

The support portal looks like the rest of Beanflow

The support portal now uses the same navigation, typography, and colours as the Beanflow website. Opening a ticket or reading a reply feels like staying in the same product rather than switching to a separate tool.

Canadian payroll guides, free to read, no login required

Plain-language guides on running payroll in Canada now live on the Beanflow website: year-end T4s and records of employment, pay dates versus pay periods, CPP and EI withholding, earnings and deductions, and remitting source deductions. They are written for owners, not accountants.

  • One payroll hub. Every payroll guide is listed in a single payroll resources section in the main navigation.
  • Plain language. Each guide explains the rule and what it means for your payroll.

The Beanflow website was rebuilt around payroll. The homepage now leads with payroll instead of bookkeeping, with a short product walkthrough you can watch without signing up.

  • Payroll up front. Payroll leads the homepage, the navigation, and the calls to action, while bookkeeping keeps its own place in the resources.
  • Easier to scan. Frequently asked questions and the step-by-step how-it-works section are both reachable from the homepage.
  • Navigation that gets out of the way. The header condenses as you scroll so it stays available without covering the page.

Import and export your employee list with CSV

Moving payroll over? Export your current employee list to a CSV file, fill in the rest offline, and import it into a new company in one pass. Validation runs on the whole file before anything is created, and near-matching names are flagged for review.

A clearer draft payroll page

The draft payroll page was rebuilt: a compact header with the pay date and pay window, a filterable summary of every employee and pay group, a delete button for the draft, and history scoped to the period you are viewing.

Replace an approved payroll with a corrected version

When an approved payroll needs a correction, use Correct This Period: the original is kept for your records, a fresh draft is created with the same pay group and employees, and the history page shows both versions side by side. If this year's T4 is already filed, the app blocks changes and explains why.

  • Self-serve corrections. Fix the period yourself; the app walks you through voiding the later period first if one exists.
  • Full history. Every replaced version stays viewable from the payroll history page.

Delete a company you no longer need

Company owners can now permanently delete a company and all of its data. The flow asks you to type the company name and confirm a code sent to your email, so the delete cannot happen by accident.

The payroll history table was simplified with expandable rows: open a run to see its pay groups, employees, and totals without leaving the page, and paystub details are shown where you expect them.

Zero-earnings records no longer block paystub emails

When you email paystubs for a run, employees with no earnings that period are skipped and listed with the reason — for example a missing email address — with a direct link to fix their profile.

Correct a compensation effective date in place

If an employee's compensation was saved with the wrong effective date, you can correct the date on the existing record instead of deleting and recreating it — the pay history stays intact.

Employee portal personal info saves correctly

Fixes a bug where saving personal information from the employee portal could fail when a home address was included. Address fields are now validated the same way the payroll database expects, and the province list matches the provinces Beanflow supports.

Draft payroll pay dates with CRA tax boundaries in view

The pay date picker on a draft payroll now shows the CRA tax edition window the date falls in (the January or July tables) and warns before you save a date that crosses a boundary, so mid-year pays are dated deliberately.

Approved payrolls keep their pay date; corrections go through the void flow.

Pay groups explain why an employee does not match

Assigning employees to a pay group now shows exactly which field conflicted — province, pay frequency, employment type, compensation type, or hire date — for each employee in the list, instead of a generic failure.

Email paystubs to employees

After approving a payroll run, send paystub emails to employees in one action. Individual paystubs can be resent any time from the approved-run view.
